Section II. REGISTRATION GUIDELINES

1. Pick up registration forms and Player Passes from the GCSA office or GCSA registrar

2. Make registration forms available to all prospective players

3. Prepare and Send out Flyers to the schools

Flyer will contain deadline for registering at selected sites announced during each registration period.

4. Consider other publicity options which include:

a) Newspaper (present to news/sports desk)

b) Local Television Stations (present to front desk)

c) Radio Stations (present to front desk)

d) This Week at Phillips

e) Club Newsletter

These items should be clearly typed and should be 25 words or less.

5. Generate Financial Assistance forms

6. Competitive players can be registered through the normal means at sign-up. The Competitive Coordinator takes care of handling registration of these teams. The club will get a copy of the registration forms so the registrar can enter the players into the computer database.

7. Place player information into computer database (both recreational and competitive) either by:

a) Verifying player information if player is already in database

b) Add player information into database if player is new

8. Work with the Games Committee to sort registration forms and code them for team selection as outlined in Section IV of the WCSC Standing Resolutions.

9. After the Games Committee has created teams, these team numbers must be entered into the database for each player.

10. Preliminary team rosters and player passes are then printed for each team.

11. Check the waiting list often for additional players and incorporate them onto teams as needed.

12. Attend the Coaches Meeting at the start of the season to:

a) Hand out Preliminary rosters

b) Handout Player Passes to U14 and older teams

c) Emphasize the point that Coaches need to contact players within 72 hours of receiving roster to determine playing status of all players and report back to Registrar.

d) Announce that special requests will not be honored except under extenuating circumstances. These requests must be submitted in writing to the Games Committee chairman. The Games Committee will make the final determination of honoring special requests.

e) Make sure Coaches inform parents that after the Registrar registers the team with Green Country, (date supplied by GCSA), that no refunds will be given to players who drop.

f) Need drop letters for players wishing to drop

14. Arrange with the District Registrar a time and place to register the teams. The information necessary to register the teams is described in the Registrar's workbook. A check will need to be obtained from the Treasurer for the registration fees.

15. Any adds or drops after the teams have been registered will need to go through the following procedure:

a) If adding a player, add the name to the Team Roster

b) If dropping a player, draw a line through the name on the Team roster

c) Complete Tally Sheet

d) Send Roster & Tally Sheet to District Registrar, along with a check for registration (if adding)

e) Inform coach of the added player so that they can order uniforms

16. For Spring Registration, form is generated and mailed out to all fall players. Request information back from all players.

17. Attend Registrars Mini workshop prior to each season


Instructions for Filling Out Registration Form

1) Please print!

2) Complete/Correct as much of the non-shaded portions as possible

3) Double check the following for accuracy:

* Player's Name (not brothers/sisters/moms/dads)

* Player's Address (address he/she will be at beginning of season)

* Player's Birth date (not brothers/sisters/moms/dads)

* Player's Sex (not brothers/sisters)

* Player's School (school he/she will be attending in the fall)

The above information is used to place players on teams, therefore the team placement is only as good as the information we work with!

4) Number of seasons: There are two seasons a year spring/fall, therefore if a player has played 2 years of U8 and 2 years of U10 he/she has played for 8 seasons

5) Last League: Just indicate whether it was U8, U10, etc.

6) Grade: this should be the grade they will be entering

7) Parental Support: please give this consideration, we are always short on coaches and referees

8) Sign form in both places a) Release of USYSA and affiliates and b) Medical Consent for emergency medical care

9) Make Check payable to WCSC or Washington County Soccer Club. One check may be written for multiple children. See Section III of the WCSC Standing Resolutions for Payment Structure for Registration.

10) Financial assistance is limited, application form must be completed at time of registration

11) Deliver completed registration form(s) to selected registration sites or mail to Club Registrar before final scheduled registration date

12) Players wishing to register after last scheduled registration will be placed on a waiting list and placed on teams subject to availability. (Registration forms and checks will not be accepted until they are placed on a team.)

13) Announce that special requests will not be honored except under extenuating circumstances. These requests must be submitted in writing to the Games Committee chairman. The Games Committee will make the final determination of honoring special requests.
