Section V. GAME/FIELD SCHEDULING GUIDELINES
A. SCHEDULING FOR U8, U10, AND U12 INTRA-CLUB LEAGUES:
1. Get Team and coach information from the Games Committee Chairman
2. Pull teams in the order given on the list and number 1-?
3. Put the schedule pattern from the template on the league worksheet
4. Adjust if one team has first game field maintenance more than two times, if possible
5. If possible, use one league per field to make scheduling easier.
a. Use the Larry Benbrook fields first and all other fields are overflow fields. Try not to give one team the overflow field more than two times.
b. Copan home games in the Fall are played in Copan
c. Copan home games in the Spring are all scheduled in the first four weeks of the season (baseball is played there after that)
6. Complete paperwork and distribute to coaches, referee scheduler, board members
7. Send to Green Country
B. SCHEDULING FOR U12 AND UP INTER-CLUB LEAGUES:
1. Get Competitive team information from the Competitive Coordinator
2. Add to the field schedules
3. Get the home dates for WCSC's traveling recreational teams from Green Country (This information may go to the president)
4. Pick times for the games (preferable 10:00-4:00 start times)
5. Add to the field schedules
6. Get recreational closed leagues from Games committee
7. Put teams in the order given on the list and number 1-?
8. Put the schedule pattern from the template on the league worksheet
9. Adjust if one team has first game field maintenance more than two times, if possible
10. If possible, use one league per field to make scheduling easier
a. Use the Larry Benbrook fields first and all other fields are overflow fields. Try not to give one team the overflow field more than two times.
b. Copan home games will be played on most appropriate fields
11. Send in our home dates and times to the GCSA office
12. Prepare a document which contains the number of home games for each WCSC coach, both Recreational and Competitive. This document will be used by the Treasurer for use in distributing funds for the referees.
13. When available, pick up schedules, patches, etc. from the GCSA office
14. Distribute schedules and patches to coaches
C. SCHEDULING U6:
1. Schedule these games after all others are complete
2. Try to use the under 8 fields. If possible, try to use the same time each week.
D. MISCELLANEOUS:
1. Maintenance on the fields is scheduled through the Field Coordinator
2. Adult games need to be scheduled through the Game/Referee Rescheduler
3. High School games need to be scheduled through the Game/Referee Rescheduler with assistance of the Referee Coordinator
4. Unscheduled practices and scrimmages are prohibited. To keep the fields in quality condition, we must limit non-game activity. However, we do allow scheduled scrimmages and one practice during the pre-season, at the discretion of the Game and Field Scheduler. During the season, scrimmages can be scheduled at the discretion of the Game/Referee Rescheduler. Fields are available on a first come first serve basis, except that rescheduled games take precedence over scrimmages.
5. Game cancellations other than those cancelled by WCSC due to inclement weather must be made no later than 72 hours (Noon Wednesday for Saturday Games, Noon Thursday for Sunday Games) prior to game time. Games cancelled less than 72 hours prior to game time are subject to a $10.00 rescheduling fee, and for games cancelled with less than 24 hours notice the coach shall pay the scheduled Referees their fee and the team will be responsible for the payment of the RESCHEDULED REFEREE without WCSC reimbursement. Exceptions would be at the discretion of the Game/Referee Rescheduler.
a. Examples of unacceptable reasons for cancellation,
1. Weather might be too
cold or too hot or too wet, WCSC will cancel games for severe or extreme weather
conditions.
2. Team will be short players, (U12-U19 teams can play a legal game with 7 players, U10
with 6 players, U8 with 3 players). Subs are not a requirement to play the game.
b. In the case of late cancellations by away teams, WCSC coaches should inform the away coach there will be a $10.00 field rescheduling fee. If the cancellation is within 24 hrs of game time the WCSC coach shall notify the scheduled referees and the referee resheduler. If the coach should fail to notify the scheduled referees the coach shall pay the scheduled Referees their fee and the team will be responsible for the payment of the RESCHEDULED REFEREE without WCSC reimbursement.
6. Rescheduled games can be played any day of the week
7. Weekdays are usually limited to one game per day per field
8. Any available time slot can be used on the weekend
